Practical information

Eligibility of Applicants

• Open only to employees of Full Member institutes of the European One Health Association (EOHA).
• Priority is given to scientific staff and PhD students who are based at and paid by an EOHA member institute.
• Member institutes are permitted to submit only one application per year, either for a Short Term Mission (STM) or a Workshop (WS).
• Applications from members who did not submit an STM and/or WS proposals in the previous year will be prioritized.

Where can an STM/WS be undertaken?

• STM: at an external institute. 
  • Priority is given to STMs conducted at EOHA member institutes.
  • STMs involving collaboration with Eastern-European Member states are prioritized.
• WS: at the applicant’s home institute.
  • Workshops organized in collaboration with Eastern-European Member states have priority.

Call topics should be related to:

• Mission and strategic goals of the Association, particularly:
  • Sharing expertise and harmonizing methodologies.
  • Fostering One Health research, including cross-sector collaboration to improve the prevention, detection and control of zoonoses and antimicrobial resistance (AMR).

• EOHA priority areas, such as:
  • Validation/standardization of Next-Generation Sequencing (NGS) on zoonotic pathogens
  • Vector- and arthropod-borne zoonotic infections
  • Zoonotic pathogens present in Eastern-European countries (e.g. Trichinella and Echinococcus).
  • Transmission and (re)emerging risks of zoonotic agents and AMR through the environment.
  • Zoonotic threats originating outside the EU, entering the EU via immigrants, animal transport, food, etc.
  • Impact of environmental and climate change on vectors and disease transmission.
  • Alternative livestock rearing methods (e.g., more sustainable animal husbandry systems).
• For WS: Topics related to the sustainability objectives of the One Health EJP considered of added value.

Evaluation criteria and advisory notes

1.    Scientific aims

• Scientific merit will be the primary criterion for evaluating applications.
• Clearly describe how the knowledge gained during the STM or WS can be utilized by other EOHA members.

2.    Budget

• A total budget of €20,000 is available for WSs, with a maximum of €10,000 per application. Additionally, a total budget of €10,000 is allocated for STMs.
• Try to find co-financing from the hosting or home institute, or from a third party.
• Provide a detailed and realistic budget, clearly indicating co-financing sources.
• Open workshops should welcome participation from all EOHA partner institutes to encourage knowledge exchange. Efforts should be made to distribute funds fairly to promote participation from EOHA partners. The EOHA treasurer is available to advise.
• Participants external to the EOHA consortium are welcome but will need to cover their own costs. Registration fees can be considered for such participants.
• Experts/speakers from outside the EOHA consortium are welcome, and their expenses are eligible under the EOHA budget.

3.    Eligible costs

• Receipts are mandatory for reimbursement; daily allowances or per kilometre travel rates are not permitted. All claimed expenses must be supported by receipts, scanned as PDFs, and submitted with your claim.
• Eligible expenses include:
  • Travel (preferably by public transport),
  • Accommodation,
  • Catering (for WSs only),
  • Consumables.
  • Essential equipment expenses may be considered on a case-by-case basis. Please seek clarification if unsure. Catering expenses for STMs are no longer eligible.
• For travel costs, only one return ticket will be reimbursed. Any additional tickets required (e.g., due to a missed flight or schedule change) must be covered by your institute.
• Only second-class train and flight tickets are reimbursable.
• EOHA is unable to pay for service or administrative fees.
• The EOHA treasurer may request further clarification regarding claimed costs before processing reimbursement.

4.    Reporting and reimbusement

• Missions must be completed by the end of September 2027.
• Submit both the scientific and financial reports within 30 days of mission completion.
• Notify the project manager of any delays.
• Reimbursement will be processed only after approval of both financial and scientific reports.
• By accepting EOHA funding, you agree to support the promotion of the Association’s activities by providing photographs and a summary of your report for publication on the EOHA website.
• We highly encourage applicants to share a post about their STM or WS on LinkedIn, mentioning ‘@European One Health Association (EOHA)’.
• Applicants are required to acknowledge the support of EOHA in all outputs (including manuscripts, posters, reports, and other publications) resulting from funded activities.
